Checklist for New Off-Campus FWS Student Hires - Georgetown Log-in Required (Revised July 2023)
Please feel free to direct your new student hires to this link or to request a copy from the Student Employment Office.
It's Georgetown's policy that the I-9 be completed on or before an employee's first day of work! Student employees can complete the I-9 as soon as they have a job offer. Please encourage your student employees to complete the I-9 as soon as they are able.
The Form I-9 must be completed in hard copy before a student can begin working. Off-campus FWS student hires complete the form I-9 with Georgetown's I-9 Office (part of University Human Resources). Times, location, and other information here.
All students who will be under the age of 18 when they are scheduled to start working will need a DC Work Permit. All student employees under the age of 18 are also covered by Georgetown's Protection of Minors Policy The Work Permit must be completed before the student can work any hours. Instructions regarding the DC Work Permit can be found here. Please notify the Student Employment Office as soon as possible if one of the students you wish to hire is under the age of 18 to see what additional steps are needed. Both federal and state tax forms will need to be completed as soon as possible. The maximum tax will be deducted from a student’s paycheck until exemption or withholding elections are completed.
Federal Tax Forms should be completed by students directly in GMS.
State Tax Forms will need to be completed in hard copy and returned to the Payroll Office.

Successful Georgetown hiring and payroll processing is deadline driven. To ensure that your hourly student workers are paid correctly you must meet the deadlines for each bi-weekly payroll period as listed in the Georgetown Payroll calendar.

The FWSA Tracker spreadsheet can help your student employees with a Federal Work Study Award (FWSA) to calculate the estimated hours they can work using their FWSA and to keep track of their hours and earnings. Feel free to use this tool as you work with your students to plan their schedule and track their FWSA throughout the year.
